Student Organization Registration

Student Organizations must reregsiter their organization annually with SGA, immediately after the new officers have been selected and take office. The Student Government Association, along with the Office of Student Leadership & Service, have launched a new online database management program. For the fall of 2009, all student organizations will be required to register their organization in August. One of the required fields is "Month Your New Officers Take Over," and whenever that month comes around, the current officers listed will be reminded to have their new officers update the information by completing the form in its entirety. The following information will help you, and there is information you will need to collect prior to accessing the registration system.
- Only the Student Organization’s current President may complete this form on behalf of the Student Organization. In order to access the form, you must log in using your Emory ID and Password. Any student fraudulently updating a club's information will be subject to a conduct proceeding through the Office of Student Conduct. If you have already registered for the current year, but need to make minor changes, please email Laura Rogers Reece at lroge01@emory.edu.
- When you register, you will provide three officer's contact information, and those officers will be marked in the system as "trained" when they complete one of the required Student Organization Training Sessions (click here for more information on trainings). If you need to make changes to those people (i.e. correct a misspelled name, update telephone number, or even change the officer for this year, etc...) you need to email Laura Rogers Reece at lroge01@emory.edu. Completing this form again will reset all officer information and all officers will have to be retrained; however, if you are a new president with a new group of officers and have just been elected, you must complete the form (even if you were trained last year, you must be retrained in your new role as policies and challenges change from year to year).

- Type of Charter
- Office Phone Number (or President’s phone number if you have no office).
- Club Mailing Address
- Club Web Address (if you have one - not required)
- Number of Members
- When your club meets
- Where your club meets
- President’s Contact Information (for all email addresses, please enter a COMPLETE email address - not LL, Learnlink, etc... it should be in the format emoryid@emory.edu or emoryid@learnlink.emory.edu).
- Treasurer’s Contact Information
- Additional Officer’s Contact Information (this can be your Vice-President, Co-President, or Chief Programming Officer – this person must also be trained through the required Student Organization Training)
- Advisor’s Contact Information (required).
- Your Primary Advisor must be an employee of Emory University or Emory Healthcare. Alumni, and individuals who are not employed by Emory, may be listed as Co-Advisors only. Students are not permitted to serve as Primary or Co-Advisors. Rare exceptions can only be made by the SGA on an individual basis. - Co-Advisor (if applicable - not required)
- The month that your new officers take over the organization. This is the month that the system will reset itself and your new president must re-register the club. It it important that you have the new president re-register the club immediately upon taking office.
- Mission Statement
- Brief Description of your club’s Activities, Programs, and Services.
- Once you have completed this form, please advise your Treasurer and Additional Officer that you are all three required to attend a very informative and important training related to running your organization, effective leadership practices, and Emory University Policy changes.
